Sometimes you don't want to see all your data - just specific students, grades, or subjects. Today we learn filtering: the art of showing exactly what you need, when you need it.

Today's 15-Minute Lesson: Data Filtering Basics

Filtering is like using a sieve - same data, but showing only what matches your criteria. The rest is hidden, not deleted.

What You'll Learn Today:

Today's Practice: Filter Your Grade Data (12 minutes)

Using your Mathematics grade book:

Step 1: Apply Filters (2 minutes)

  1. Click anywhere in your data

  2. Click "Data" tab

  3. Click "Filter" button

  4. Notice dropdown arrows appear in your headers

  5. Your data is now filterable!

Step 2: Filter by Grade Symbol (3 minutes)

  1. Click the dropdown arrow in "Symbol" column

  2. Uncheck "Select All"

  3. Check only "D" and "E" (students needing help)

  4. Click OK

  5. Only struggling students are now visible!

Step 3: Clear and Try Different Filter (2 minutes)

  1. Click the dropdown arrow in "Symbol" again

  2. Check "Select All" to show everyone

  3. Now uncheck "Select All" again

  4. Check only "A" and "B" (top performers)

  5. Click OK - only high achievers shown!

Step 4: Filter by Score Range (3 minutes)

  1. Clear previous filter (Select All in Symbol)

  2. Click dropdown in "Final Mark" column

  3. Choose "Number Filters" → "Between"

  4. Enter: 50 and 70 (moderate performers)

  5. Click OK

  6. Students scoring between 50-70% are shown!

Step 5: Combine Multiple Filters (2 minutes)

  1. With the score filter still active

  2. Click "Symbol" dropdown

  3. Uncheck "Select All"

  4. Check only "C" and "D"

  5. Now you see students with C or D grades who scored 50-70%

Understanding Filter Results:

What Filters Show:

  • Only data matching your criteria

  • Row numbers show gaps (2, 4, 6 instead of 2, 3, 4)

  • Formulas adjust to visible data only

  • Charts update to show filtered data

What Filters Don't Do:

  • Delete any data

  • Permanently change your spreadsheet

  • Affect the original data order

  • Break your formulas

Practical Filtering Applications:

For Student Support:

  • Filter grades D, E, F, G for intervention

  • Show students below 40% for immediate help

  • Display improving students for encouragement

For Recognition:

  • Filter grades A and B for honors lists

  • Show top 10% for awards

  • Display students above 80% for certificates

For Parent Communication:

  • Filter by specific student names

  • Show only grades requiring attention

  • Display progress over time

  • Filter by pass/fail status

Before Filtering:

  • Save your work

While Filtering:

After Filtering:

Removing Filters:

  • Click "Data" → "Filter" to turn off all filters

  • Or click individual dropdown arrows and select "Select All"

  • Or use "Clear" in the Data tab

Advanced Filter Tips:

Text Filters:

  • "Contains" - find partial matches

  • "Begins with" - find names starting with specific letters

  • "Does not equal" - exclude specific entries

Number Filters:

  • "Greater than" - above a certain score
